Position Purpose

The Administrative Assistant serves as the first point of contact for visitors and clients while providing essential administrative support to staff and project managers, ensuring smooth office operations and effective communication.

In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification form upon hire. Essential Duties & Responsibilities

  • Perform general front desk responsibilities to include; log incoming deliveries, mail distribution, and answering calls to the company main number.
  • Coordinate with cross-functional teams to align administrative processes with departmental objectives, ensuring timely delivery of services and support for strategic goals.
  • Project correspondence, formatting, proofreading, assembling reports
  • Travel arrangements
  • Organize and maintain conference room reservations on a shared calendar for meetings and other occasions.
  • Assist the Corporate Concierge duties.
  • Assist with Business Development activities.
  • Assist Marketing department as requested.
  • Ensure building security using approved sign-in/sign-out procedures and following escort protocol
  • All other duties as assigned.

Competencies

  • Proficient in Microsoft Office skills: Word, Excel, Outlook
  • Experience with Adobe Acrobat Pro/DC preferred
  • Experience in Microsoft Access and Projects a plus
  • Excellent communication and time management skills supporting flexibility.
  • Excellent organizational skills and attention to detail
  • Strong analytical and problem-solving skills.

Qualifications / Prior Experience

  • High School degree or equivalent.
  • 2 years equivalent work experience
  • Experience working as an individual or part of a team as needed.

Work Environment

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Occasionally lift and/or move up to 20 pounds.
  • Prolonged period of sitting or standing at a desk while working on a computer.
